Data policy

This policy describes how the CLMV Knowledge Portal collects, uses and protects users' personal data, in line with Decree 13/2023/ND-CP on personal data protection and the corresponding regulations of the member countries.

1.Data collected

  • Account information: email address, full name; profile picture when signing in with Google.
  • Profile information: country, audience group, organisation, position, areas of interest, preferred language.
  • Learning data: enrolled courses, progress, quiz results, issued certificates.
  • Conversations with the AI learning mentor; this data is anonymised before being used for quality assessment.
  • Technical logs: sign-in times, IP address, browser type, for security purposes.

2.Purpose of processing

  • Providing accounts, organising learning and issuing certificates in the learner's correct name.
  • Compiling learner statistics by country and audience group for management purposes.
  • Suggesting courses and content that match areas of interest.
  • Keeping the system secure and detecting unusual access.

3.Scope of sharing

  • Country administrators can only view data of learners from their own country.
  • The certificate verification page only shows the full name, course title, result and issue date.
  • The platform does not sell or transfer personal data to third parties for commercial purposes.

4.User rights

  • View and update profile information under My account.
  • Request an export of all personal data; the file is sent by email within 24 hours.
  • Request account deletion; requests are processed within 30 days.
  • Withdraw consent to data processing at any time.

5.Storage and security

  • Data is stored on servers located in [location], encrypted in transit and at rest.
  • After an account is deleted, the system keeps only the full name, course title and issue date so that issued certificates remain verifiable.
  • Administrative activity logs are kept for 12 months.
